Repeating jobs and planned dates
For: Pool safety inspectors, Pool fence contractors, Pool builders, Property managers and agencies · Last updated 30 October 2026
A repeating job books the same visit again on a pattern, such as a yearly re-check or a fortnightly service. The next few weeks are booked as real jobs. Dates further ahead show as Planned until they get close.
Who it is for: Business accounts that can change the schedule. A viewer sees repeats and Planned dates but cannot change them.
How to do it
- Open Schedule, press Add job and choose the customer, the date and the time. Under the time, choose Repeat: every week, every 2 weeks, every month, every 3 or 6 months, every year, or every number of days.
- Choose when it Ends, or leave it on Never. The note under Repeat says how many weeks ahead jobs are booked. You can change that under Hours and days off, Book ahead (weeks).
- Once you choose a repeat, two boxes appear. Remind the customer the day before each visit and Email the customer to confirm this regular visit both start unticked, and both need an email address on the customer's page. See What the customer is sent.
- To repeat a job you already have, open it and press Make this repeat. You can also start from a property (Add a repeating check) or a customer (Make it repeat).
- Dashed cards marked Planned are dates that are not booked yet. Tap one to Book this one now, Skip this one, Pause repeat, or Change every one after this. Booking, skipping and pausing can be undone for a few seconds.
- To skip a job that is already booked, open its person's day on the Schedule (tap their initials), press the repeat button on the job and choose Skip this one. The job is cancelled and does not come back; the other jobs of the repeat stay as they are. Undo is there for 8 seconds.
- To pause a repeat, choose Pause repeat, pick the day to pause until, and check the note: no new jobs are booked until then, and booked jobs that you have not moved, changed or told the customer about come off your schedule. Jobs you have moved, changed or told the customer about stay. Pause repeat and Resume repeat are also on the job page. Resume repeat books jobs again where the repeat's pattern puts them. Nothing is emailed when you pause or resume.
- You can drag a Planned card onto another day in the week or the month, or open it and press Move to another day. That books the job on that day and marks it as moved by hand. Moving a job that repeats keeps its place in the repeat and marks it as moved by hand too.
- When you change a job that repeats, choose Just this one or This one and every one after it. Jobs already done, moved by hand, or that the customer was told about stay as they are.
- To end it, open a job that repeats, press Stop repeating, and choose whether to also cancel the booked jobs still to come. Owners, admins and the person who made the repeat can stop it.
Cancelling or deleting one job
If you cancel or delete one job in a repeat, the other jobs stay as they are and that date does not come back.
What the customer is sent
Nothing, unless you choose it. A repeat does not email the customer for the jobs it makes. The two boxes below are for that repeat only, and both start unticked.
Email the customer to confirm this regular visit sends one email when you save. It has the date, time and address of the first visit and how often it repeats. It is sent once and is never sent again by itself. If you choose this box, the usual confirmation box for the first job is not shown, so the customer gets one email, not two.
Remind the customer the day before each visit sends a short reminder the day before each job of that repeat. You can turn it on or off at any time from the job page (Reminders: on or off). The setting Email the customer a reminder the day before in Hours and days off has to be on as well.
Every email to a customer has an unsubscribe link, and PoolPreCert does not email an address that has unsubscribed or a customer with no email address. Planned dates are never shown to customers.
Planned dates in your calendar link
Planned dates also show in your private calendar link as tentative events with a title that starts with Planned:. They do not block your time in a calendar app. The link looks about six months ahead, so with a long Book ahead setting most of those dates are already booked jobs and no Planned event is needed.
Limits
A business can have up to 200 repeats running. A repeat cannot book more than 100 jobs at once, so a very short gap over a long booking window is turned away with a message.
What it does not do
- A repeat never emails the customer on its own. The two boxes are the only way, and they start unticked.
- A reminder is not sent to a customer with no email address or one who has unsubscribed.
PoolPreCert helps you do and record your work. It does not decide whether a pool meets the Queensland standard. Only a licensed pool safety inspector does that.
