1. Purpose

This Policy explains how PoolPreCert subscriptions, renewals, cancellations and refunds operate. It should be read with the Terms of Service.

2. Checkout transparency

Before a customer commits to a subscription, PoolPreCert and the secure checkout clearly show:

  • the subscription name and included features;
  • the amount payable and that GST is included;
  • the billing frequency (monthly or yearly);
  • the initial term or minimum commitment, if any (standard plans have none);
  • that the subscription automatically renews;
  • the renewal price;
  • when the first or next charge is expected, including any trial or founding-member months at no charge; and
  • how the customer can cancel.

3. Automatic renewal

Unless the checkout expressly states otherwise, subscriptions renew automatically at the disclosed billing interval until cancelled. A renewal will not be hidden in fine print and will be disclosed prominently before purchase.

4. Cancellation

You can cancel at any time from Billing in your PoolPreCert account (“Cancel subscription”), or by contacting us. Cancellation is straightforward and does not require unnecessary steps beyond reasonable identity or security verification.

Unless otherwise stated at checkout, cancellation stops future renewal, and access continues until the end of the period already paid for. It does not automatically create a refund for the current billing period (see section 5). If you cancel during a trial or during founding months at no charge, nothing is charged and access to paid features ends when that period ends.

4A. Trials and the founding member offer

14-day trial. Business plans start with a 14-day trial from the day the business account is created. No card is needed and nothing is charged. When the trial ends you keep your account and your records, but paid features stop until you subscribe. We never turn a trial into a paid subscription without you choosing a plan and entering a payment method at checkout. If you subscribe during the trial, your first charge is not taken before the trial ends; the payment page shows the date.

Founding member offer. While founding places remain (the number left is shown on our pricing page and in Billing), a business that subscribes for the first time receives 3 months at no charge, then 25% off the published price of its plan for as long as the subscription continues without a break. The 3 months start when you subscribe and a payment method is entered at checkout; the first charge is taken at the end of the 3 months (or at the end of your 14-day trial, if that is later) unless you cancel first. If you cancel during the 3 months you are not charged and access to paid features ends when they end. Published prices can change with the notice in section 7; your 25% discount then applies to the new price. If we ever end the founding discount for existing members we will give at least 90 days' notice and you may cancel at any time. The discount is personal to your business and does not restart if you cancel and later rejoin.

4B. Notices before we charge you

We email the account owner and administrators about 7 days before your first charge (when a trial or founding months at no charge end) and about 14 days before each yearly renewal, stating the amount including GST, the date and how to cancel. These notices are sent even if you have turned off other emails, so keep a monitored email address on the account. Monthly renewals after the first charge are not separately reminded; the payment provider's receipt covers each payment.

5. Refunds

If you cancel within 14 days of your first paid charge for a subscription, we will refund that charge in full on request to support@poolprecert.com. This applies to monthly and yearly plans alike; a yearly plan is paid for the year in advance, so check the amount and the charge date on the payment page before you confirm. After that, cancelling stops future charges and you keep access until the end of the period you have paid for. If you cancel a yearly plan after those 14 days, you can ask at support@poolprecert.com for a refund of the unused whole months: one twelfth of the amount you paid for each whole month of the yearly period left after the end of the month in which you cancel. For a monthly plan we do not refund part of a month already started. Beyond that, we do not refund part of a period already started, except where the Australian Consumer Law or another law requires it, where we are unable to provide the service for a significant part of the period, or where this Policy or the Terms say otherwise (for example section 7 and clause 13 of the Terms). Refunds go back to the original payment method. Nothing in this Policy limits statutory consumer guarantees or other rights that cannot lawfully be excluded.

5A. One-off purchases

A homeowner can buy a detailed PDF report for a completed self-check for a one-off price shown at the time (currently $1.99 incl. GST). The checkout shows the price including GST before you pay, it is charged once, and nothing renews. You receive a tax invoice with the GST amount and our ABN. Refunds for a one-off purchase are as the Australian Consumer Law provides.

6. Service outages

Where applicable law requires, PoolPreCert will not continue charging a customer for a period during which a paid service cannot be accessed because PoolPreCert is unable to provide the service.

7. Price changes

We may change subscription prices for future billing periods. We will email the account owner and administrators at least 30 days before a changed price applies to your subscription. You may cancel before the new price takes effect and keep access until the end of the period you have paid for.

8. Failed payments

If a payment fails, we tell the account's administrators, the payment provider may retry the payment, and we may restrict paid features after reasonable notice (see clause 14 of the Terms). We will not charge amounts that are not properly authorised or due.

9. Taxes

PoolPreCert is registered for GST. Prices displayed to Australian customers include GST, and invoices and receipts show the GST amount as required by law. If tax treatment changes, we may make corresponding changes where permitted by law and will communicate material changes.

10. Business subscriptions

Business customers should ensure that the person purchasing a subscription has authority to bind the organisation. Where a business contract is negotiated or materially different from the standard flow, the signed business agreement will govern to the extent of any inconsistency.

What you can see before you subscribe. If homeowners have asked for your business to contact them, you can see how many, near which councils, before you subscribe. To see who they are and reply, your trial or plan must include requests. There is no fee per request.

11. Consumer law

Nothing in this Policy excludes, restricts or modifies a consumer guarantee, refund right or other protection that cannot lawfully be excluded under the ACL or other applicable law.

12. Subscription law readiness

PoolPreCert designs and maintains its subscription flow to comply with applicable Australian subscription requirements, including reforms commencing 1 July 2027 where they apply, with clear renewal information and straightforward cancellation.
