Schedule basics: jobs, the calendar and reminders
For: Pool safety inspectors, Pool fence contractors, Pool builders, Property managers and agencies · Last updated 31 October 2026
The Schedule (this used to be called the Diary) shows your jobs by day, week and month. A job is linked to a customer and usually a property, with a type, a time and a length.
Who it is for: Business accounts.
How to do it
- Open Schedule and press Add job (or use the round add button).
- Choose the customer and property, the job type (inspection, re-inspection, repair, quote visit or other), the time and how long it takes.
- The Week and 3-day views open as a board: one column for each day, with each person's jobs stacked in time order under their initials. Under a person's jobs is a total such as 3 jobs · 2 h 15 (booked time, not driving). Today is the solid day at the top. A weekend day shows when it has a job; 7 days a week in More shows all seven. The info button explains the colours and marks.
- The dashed plus at the bottom of a day adds a job on that day, for that person, at their first open time.
- Jobs with no time yet wait in To schedule until you give them one. The inbox button opens them as a strip on a phone and as a panel on a wide screen. Drag one onto a day, or open it to pick a time. Drag a booked job back onto To schedule to send it back.
- To move a job, drag it to another day, or onto another person's jobs to give it to them. It keeps its time. On a phone, press and hold first. A bar says what happened and has Undo for 8 seconds. A small chip near the top says Saving, Saved or Offline, and only when that is true.
- To change the order of a person's day, drag a job up or down among their jobs. A dashed gap shows where it will land, every job shows the time it would have, and the total says when the day would finish. Let go to save, or press Esc to put it back. Jobs from the first one that changes place to the last are laid out again one after another with your travel time between; the jobs before and after keep their times.
- To move a job without dragging, press Pick up on its card (the small hand), then tap the day you want. A bar says Moving, with Cancel. With a keyboard, press Enter on Pick up, use the left and right arrow keys to choose a day, press Enter to put it there, or Escape to cancel. You can also open a job and press Move to another day, then pick the day and time. Before anything is saved we check whether it overlaps another job for the same person and tell you if it does.
- In the Day view, while you hold a job, Move to appears with Tomorrow, Next week and Pick a day. Tomorrow and Next week keep the time. Pick a day opens a date picker.
- To change several jobs at once, press Select (in More on a phone), then tick the jobs, or Select this day or a person's chip to tick a whole day. See Move several jobs at once.
- A job that is done, or has started, stays where it is and is never moved past, and says so.
- Board is the default. Timeline shows hours down the side: drag a job to a time, or drag its bottom edge to change how long it takes (switch with Board and Timeline on a wide screen, or in More on a phone). List is the phone list with Call, Text and Directions. In the month, drag a job onto another day.
- To book the same visit again and again, choose Repeat when you add a job. See Repeating jobs.
- Open a job for the customer details, site notes, photos and costing, and to start a quote or invoice.
- The Schedule remembers the last view, layout and person you looked at on this device. A link that names them always wins.
- Under Hours and days off set your working days and hours and add days off.
- If the customer has an email address they get a confirmation when the job is booked and a reminder the day before. Switch the reminder off with Email the customer a reminder the day before. Jobs made by a repeat are different: see Repeating jobs.
- Certificate cards in the Schedule have Book the next one, which opens Add job 14 days before the end date you recorded. Today shows a Regular visit tag on jobs made by a repeat.

What it does not do
- Texts are sent from your own phone's messaging app when you tap Text. PoolPreCert does not send them for you.
- Moving a job that is already booked does not email the customer by itself. If they were already told, you are offered Email the new time.
PoolPreCert helps you do and record your work. It does not decide whether a pool meets the Queensland standard. Only a licensed pool safety inspector does that.
