Inspection records, Form 26 reminders and retention

For: Pool safety inspectors · Last updated 16 October 2026

Records helps a licensed inspector keep the records QBCC asks for. It is a record-keeping aid. It does not lodge anything or decide anything.

Who it is for: Inspectors. Based on the QBCC fact sheet on record keeping for pool safety inspectors.

How to do it

  1. On the Review and finish screen fill in Who was present. Photo and video times are kept and shown.
  2. On gate items press Record video to film the gate in the app, or Upload video to choose a clip you already have. Type it as arc of operation or self-closing and self-latching, and say which gate.
  3. On non-climbable zone items fill in the Non-climbable zone note: side, justification and items assessed as non-climbable.
  4. Open the inspection's records page to add exemptions or variations, performance solutions, the reasons supporting the decision and a dated log of conversations and advice. Use the barrier sketch tool for the layout.
  5. On the Records page, use the Form 26 reinspection tracker when you give an owner a nonconformity notice. It tracks the three-month date.
  6. Download a record pack for an inspection from Records. Each pack has the photos, videos, report PDFs, a web page and checksums.

Gate videos

Record video films in the app at about 720p, with a timer, and stops by itself at 59 seconds. To use a clip you already have, choose a file: MP4, M4V, MOV, WebM, 3GP, MKV, AVI or MTS. PoolPreCert reads the start of the file to see what it is, so a wrong or missing file ending does not matter.

A clip over 60 seconds or 50 MB is not accepted. A big clip is made smaller on your phone before it goes up, which takes about as long as the clip itself. Uploads show a progress bar and try again by themselves if the signal drops. If it still fails, press Try again: the clip is kept, so you do not need to record it again. Gate videos need a connection. Demo workspaces have videos switched off.

Keeping records

Each completed professional inspection shows a keep until date, five years after completion. Within that time its photos, videos and the inspection cannot be deleted by a user while your account is open. If you close your account they are deleted with it, so download your record packs first. The delete-account form asks you to tick that you have downloaded them. Records are stored privately and can be exported as a ZIP.

What it does not do

  • It does not check an inspection, decide anything or talk to the QBCC Portal.
  • Backups depend on the hosting plan. Download your own record pack if you want a copy.

PoolPreCert helps you do and record your work. It does not decide whether a pool meets the Queensland standard. Only a licensed pool safety inspector does that.
