Import customers: drop a file, paste or use contacts

For: Pool safety inspectors, Property managers and agencies, Pool fence contractors, Pool builders · Last updated 16 October 2026

The import page takes a customer list from almost anywhere: drag a file onto the page, press Choose a file, paste cells from a spreadsheet, or share your phone's contacts as a .vcf file. PoolPreCert finds the columns for you and shows one preview before anything is saved.

Who it is for: Owners, admins and inspectors in business accounts (viewers cannot import).

How to do it

  1. Open Customers, then Import customers.
  2. Drag your file onto the page where it says Drop your customer list here, or press Choose a file. CSV, Excel (.xlsx) and phone contact (.vcf) files all work.
  3. On a phone, use Paste from a spreadsheet instead: copy the cells (including the column names) and paste them in the box, then press Use this list. Or choose a .vcf file exported from your phone's Contacts app.
  4. Look at the preview. Each person is marked Add, Update, Skip or Needs a fix, and the counts are at the top. Names are matched from plain headings such as Name, Mobile, Email and Suburb, or from what is in each column.
  5. Fix any row marked Needs a fix right in the list (for example a mistyped email or phone number), or press Leave out. Open How we matched your columns if a column was matched wrongly.
  6. Choose what happens to people already in your address book: fill in their missing details, or leave them alone.
  7. Press Import (the button shows the number of customers). A summary shows what was added, updated and skipped.
  8. Changed your mind? Press Undo this import within 10 minutes. Press Download what was skipped to get a file of everyone who was not imported and why.

What it does with duplicates

People are matched by phone number (+61 and 04 numbers count as the same) or email, so the same person is never added twice, in the same file or in a second import. If a person is already in your address book, only their empty fields are filled in. An import never deletes anyone and never overwrites details you already have.

What it tidies

Australian phone numbers are put in one style, emails are made lower case, first and last name columns are joined, and an address in one cell such as 12 Lagoon Ave, Buderim QLD 4556 is split into street, suburb, state and postcode.

Your column choices are remembered

The next time you import a file with the same column headings, the same choices are used. Only the headings are remembered, never your customers' details.

Your data

The file is read on your device. Only the people you confirm are sent to your business account, and the file itself is not kept. Your customers' details stay in your business account. Formulas in a spreadsheet are never run: only the values are read. Files can be up to 5 MB and 5,000 people at a time.

Taking your data out

Open Reports and exports and press Download everything (ZIP) for one ZIP of CSV files with a README, or download a single report. Photos and videos stay in the Records packs. Owners and administrators can export.

What it does not do

  • It does not connect to another product's account. You import from a file, pasted cells or a contacts file that you saved or shared.
  • It does not read older .xls files. In Excel, choose Save As and pick CSV or Excel Workbook (.xlsx).
  • Undo removes the people an import added (unless you have already given them a property or a job) and empties the details it filled in. It cannot be used after 10 minutes.

Common questions

Can I drag and drop on my phone?

Phones do not usually allow dragging a file onto a web page, so use Choose a file, Paste from a spreadsheet, or a .vcf contacts file.

Will importing twice double up my customers?

No. People already in your address book are recognised by phone or email, or by name when there is neither, and are skipped or have only missing details filled in.

PoolPreCert helps you do and record your work. It does not decide whether a pool meets the Queensland standard. Only a licensed pool safety inspector does that.
