Import properties and certificate dates (agencies)
For: Property managers and agencies · Last updated 16 October 2026
The import wizard loads your properties and pool certificate expiry dates from a spreadsheet. Uploading an updated file later updates your records and never creates duplicates.
Who it is for: Agencies and property managers with an agency account.
How to do it
- Open Import properties from the Portfolio page, or go to the import page.
- Choose your export. A CSV saved from any system works. A template with the headings we recognise is on the page.
- Check the columns. We guess what each column is, and you can change it. Your choice is remembered for the next file with the same headings.
- Look at the Preview: each row is marked add, update, no change, skipped or needs a fix. Fix problem rows right there.
- Press Import. Nothing is saved until you do. The Result page shows what changed, and See your portfolio takes you to the list.
Use your own AI assistant
If your file's layout is awkward, Use your own AI assistant to reformat it gives you a prompt to copy into an assistant you already use. It tells you to remove owner and tenant details first.
Re-importing
Properties are matched by your property code, then by address, so an updated file does not duplicate. A certificate date is never moved backwards. A property is never deleted by an import.
What it does not do
- It does not connect to your property software. You upload a file.
- It does not check certificates with the QBCC.
Common questions
Do I need owner or tenant details?
No. Only the property, the pool certificate dates and optionally the manager are needed.
PoolPreCert helps you do and record your work. It does not decide whether a pool meets the Queensland standard. Only a licensed pool safety inspector does that.
